How to deal with external Teams invites on For Teams Go?
For Teams Go is making use of the native Microsoft Teams client for Windows and thus following all rules set by the IT/Teams administrator of your company. So below examples fully depend on the Teams admin settings deployed by your IT. CTOUCH For Teams Go does not have any influence on this hence there are no settings in For Teams Go that can change the set behavior. If there is anything unclear on what your companies policy is, please contact your IT.
External Teams invite to be used in your meeting room
IMPORTANT: Default value within Microsoft: External Teams meetings will not be accepted by room accounts (meeting rooms) when being forwarded. Please check with your IT if this is made possible for your organization prior to reading and executing below.
If you receive a Microsoft Teams invite from an external person (outside of your company domain) and you want to execute the Teams call on the For Teams Go. How to do that?
- Check if the meeting room selected will be available for the time and date of your invite. Please be careful with re-occurring meetings as for ALL the dates and times of the re-occurring meeting(s), the room should be available (otherwise the invite will not be accepted).
- When the room is available, forward the received Teams invite to the room of your liking (e.g. yourmeetingroom@yourdomain.com).
- Assuming the room is available, the original meeting organizer will get a confirmation from the room, that the room is booked for that particular meeting (so the one forwarding the meeting does not get any confirmation!). In case the meeting room is not available, the original meeting organizer will get a decline from the room (so the one forwarding the meeting does not get any decline!).
- Assuming the forwarded meeting is accepted by the meeting room, go to the meeting room just before the Teams meeting will start and tap on the booked Teams meeting to start your session.
Note: If you forwarded the meeting to the meeting room when the starting time of the meeting is in the past, it will only get visible on the For Teams Go timeline when it is within the 15 minute timeframe after the meeting started (the starting time of the initial sent invite). Thereafter the meeting is considered as in the past and will, for security reasons, not appear anymore on the timeline of the home screen.
External people to book a meeting room within your organization
IMPORTANT: Default value within Microsoft: External people (outside your organization domain) cannot book a meeting room outside their own organization. Please check with your IT if this is made possible for your organization prior to reading and executing below.
If external people want to book a meeting room within your organization, how can they do that?
- Meeting room account should be known by the meeting organizer (e.g. yourmeetingroom@yourdomain.com).
- Check if the meeting room selected will be available for the time and date of your invite. Please be careful with re-occurring meetings as for ALL the dates and times of the re-occurring meeting(s), the room should be available (otherwise the invite will not be accepted).
- Meeting organizer has to add the room account to the invite (like you do it with any participant that you like to invite) and send out the invite.
- Meeting organizer will get the accept (or decline) from the room so he is aware of the booked status of the room.
- Assuming the invite to the meeting room is accepted, go to the meeting room just before the Teams meeting will start and tap on the booked Teams meeting to start your session.
Note: If you added the meeting room to the invite when the starting time of the meeting is in the past, it will only get visible on the For Teams Go timeline when it is within the 15 minute timeframe after the meeting started (the starting time of the initial sent invite). Thereafter the meeting is considered as in the past and will, for security reasons, not appear anymore on the timeline of the home screen.
